We all know that AI is all the rage right now, but I’ve been refraining from mentioning it until I really understood how it could make operations more SIMPLE and not add complexity.
Every time I get on ChatGPT, I’m lost in all the options for what it can do for me. I find myself filled with inspiration and excitement about all the new things I can now do with this new technology.
Then I created 75 blog entries, 112 Instagram posts, 13 new ebooks, and 152 webinars that I never use (not really, but you get the point).
It’s so easy to get to see all the things AI can do for your operations. Just a quick ChatGPT search gave me this response: AI can improve operations through predictive maintenance, process optimization, inventory management, quality control, customer service, and supply chain management.
How can someone NOT get overwhelmed by the capabilities of AI?
But when utilized strategically, with thought and intention before you even open the ChatGPT browser, you can really streamline what you’re already doing.
Here are some steps for determining what you can automate with AI:
Make a list of all the recurring tasks that you’re doing.
Determine what takes the majority of your time or causes the most stress (for me, it’s sending and responding to emails and remembering to follow up with leads in a timely manner).
Decide the friction point (I don’t have templates created for my VA, so I feel like I have to create each email).
Decide how ChatGPT (or whatever AI you use) would free up this problem (it could create email templates for the emails that take the most time).
Type in a very specific prompt to get a personalized response (my prompt: “Create an informal, friendly, and personalized follow up email for someone who I met at a networking event and want to stay in contact with, mention that I am an efficiency consultant and would love to book a call if they’re interested in working together. Don’t make it a cold ask.”). Don’t forget to make it even more personalized with further prompts.
Store this information in the right place and delegate it to your team. (I put this in an Email FAQ Template doc and shared it with my VA).
Step away from ChatGPT - don’t get stuck in the rabbit hole of all the OTHER cool things it can do for you until you've gone through this list again.
It actually generated a really good follow up email. Now I can immediately send my VA business cards or emails to follow up after an event so I’m not the bottleneck. Pretty nifty!
To summarize: First think about what you’re already doing that is taking a lot of time and then figure out how you could utilize ChatGPT to streamline that thing - instead of trying to figure out how you can add even more to your plate with cool new AI tools.
